General Conditions

For B2B FIT and group travel services arranged by People Atlas.

1. Company, scope and acceptance

People Atlas is a travel brand within Authentic People. Contractual, booking and privacy enquiries can be sent to fit@peopleatlas.com.

These General Conditions apply when a person or business (the Client) asks People Atlas to research, design, book or arrange travel services for travellers named by the Client. By confirming a proposal or placing a booking order, the Client accepts these Conditions except where a written proposal, confirmation or contract states otherwise.

2. Booking

Early booking is recommended and, where possible, requests should be submitted at least three weeks before travel begins.

All reservation requests must be sent in writing and remain subject to availability until People Atlas confirms them in writing.

Special requirements—including dietary needs, allergies, accessibility needs and other traveller-specific requests—must be provided in writing as early as possible.

Where a supplier requires a deposit, People Atlas may request the corresponding amount from the Client in order to secure the service.

For proposals requiring extensive research, People Atlas may charge a quotation service fee. Where stated in writing, that fee will be credited against the final invoice when the booking is confirmed.

3. Prices and payment

People Atlas may adjust a quoted price for circumstances outside its reasonable control, including new or increased taxes and charges, fuel increases, general supplier price changes, and currency or exchange-rate movements. Unless the proposal states otherwise, an exchange-rate increase of more than 5% between initial booking and departure may be reflected in the tour price.

Payment is due 35 days before the travellers’ arrival unless the quotation, confirmation or invoice states another date. If payment is not received by the due date, People Atlas may cancel the arrangements. Vouchers and final travel documents may be released only after full payment has been received.

Credit-card payment is available only where agreed in advance and may carry a supplementary charge disclosed before payment.

4. Insurance

Appropriate travel and cancellation insurance is strongly recommended. The Client is responsible for informing travellers about the importance of adequate insurance for the itinerary and activities booked.

5. Cancellation and booking changes by the Client

The standard cancellation terms below apply to ground services. Flights, cruises, maritime services, rail services and other supplier-restricted products may be subject to different conditions, which will be stated in the confirmation or booking correspondence.

All cancellations must be made in writing to fit@peopleatlas.com. A cancellation takes effect when People Atlas acknowledges it in writing.

Under standard circumstances, the full tour or individual services may be cancelled without charge up to 60 days before arrival. From 59 to 30 days before arrival, the charge is 20% of the total price. From 29 to 10 days before arrival, the charge is 75%. From 9 days before arrival through the arrival date, the charge is 100%.

Different cancellation terms may apply to winter travel, high-holiday periods such as Christmas, maritime services, rail services and other services with special supplier terms. Any different terms will be stated at quotation or confirmation stage.

A Client-requested change of travel date may be treated as cancellation followed by a new booking. Cancellations or changes made directly with suppliers are not accepted and may not be recognised by People Atlas.

6. Unused services

If the Client or a traveller does not use all or part of an arranged service, no refund is due unless People Atlas or the relevant supplier confirms otherwise in writing.

7. Cancellation by People Atlas and force majeure

People Atlas may cancel or materially change arrangements where performance is prevented or seriously affected by events beyond its reasonable control, including force majeure, strikes, epidemics, natural disasters or official restrictions. Non-recoverable supplier charges may remain payable.

If People Atlas must cancel an arrangement, it will, where reasonably possible, offer a comparable alternative within the available time. The Client is not required to accept the alternative.

8. Programme changes

In the Client’s interest, People Atlas may replace an agreed accommodation, transport service, excursion or other travel service with a reasonable alternative, including a higher-standard alternative, before travel begins.

Client-requested programme changes made fewer than 13 days before departure may be charged at EUR 20 per change, in addition to any supplier charges. Changes requested within 3 days of departure or after travel has begun may be possible but will be subject to availability and an amendment fee disclosed at the time.

9. Responsibility, liability and complaints

People Atlas acts as an organiser and intermediary and will select services with reasonable care and prepare the journey as agreed.

Where a service is not delivered as agreed because of a fault attributable to People Atlas, People Atlas may provide an equivalent service. Subject to applicable law, any direct liability for proven immediate loss is limited to the agreed cost of the affected tour and excludes loss caused by force majeure, the Client or a traveller.

The providers of accommodation, transport, activities and other services remain responsible for delivering their own services in accordance with their contracts and applicable law.

Any complaint should be raised with People Atlas immediately so that it can be addressed during travel. If it cannot be resolved on the spot, it must be confirmed in writing within 15 days after the tour ends.

10. Privacy and enquiry data

People Atlas may collect contact details and the information submitted through its contact, agency, supplier and careers forms in order to assess the enquiry, respond, keep an appropriate business record and take requested pre-contractual steps.

For confirmed travel, People Atlas may also request traveller information such as name, nationality, date of birth, telephone number and, where necessary, passport details or copies. This information is used to operate the booking and is shared only with service providers that need it to deliver the reservation, such as accommodation, transport and activity providers.

People Atlas does not sell personal information. Information is retained only for as long as reasonably necessary for the stated purpose and to meet applicable legal, accounting and administrative obligations. Personal data is handled in accordance with the General Data Protection Regulation and other applicable rules.

11. Other conditions

People Atlas is not responsible for lost or forgotten items and cannot guarantee that an item can be recovered.

Each traveller is responsible for valid passports, visas, vaccination certificates and any other required travel documents. Visa and document costs are not included unless expressly stated.

Road fees, airline taxes, luggage charges and similar costs are included only where the quotation or confirmation expressly says so. Travellers remain responsible for following the relevant carrier’s luggage rules.

Governing law, jurisdiction and any dispute-resolution process will be stated in the applicable quotation, confirmation or contract.
